Managing Team Member Access to Events

Understanding Access Scopes

When inviting team members, you have two access scope options:

All Events Access

When to use:

  • For long-term team members who work on multiple events
  • For staff who need ongoing access to your event portfolio
  • For trusted collaborators who help with all your events

What they can access:

  • All current events
  • All future events you create
  • Complete event management (based on their role)

Selected Events Access

When to use:

  • For temporary staff or contractors
  • For event-specific volunteers
  • For freelancers working on specific projects
  • For limiting access to sensitive events

What they can access:

  • Only the specific events you assign to them
  • They won't see your other events
  • Perfect for event-specific collaborations

How to Change Access Scope

For Existing Team Members

  1. Go to Team → Manage Team Members
  2. Find the team member you want to modify
  3. Click "Edit" next to their name
  4. Change their access scope from "All Events" to "Selected Events" or vice versa
  5. If changing to "Selected Events," choose which events they should access
  6. Save the changes

Best Practices for Event Access

General Guidelines

  • Start with Selected Events: It's safer to grant specific access first, then expand if needed
  • Regular Reviews: Periodically review who has access to which events
  • Remove Access When Done: Disable or remove team members when their work is complete

For Different Roles

  • Viewer: Can use either scope - they can't make changes anyway
  • Events Manager: Use "Selected Events" for contractors, "All Events" for full-time staff
  • Finance: Usually needs "All Events" access for complete financial reporting
  • Check-in Scanner: Always use "Selected Events" - they only need access to events they're working
